1. Person in charge of the protection of personal information

Michaël Ferland, President of Innovation Solaire Québec, is in charge of the protection of personal information. For any question, request or complaint:

2. The information we collect

• Identity and contact details: name, email, phone number, property address.
• Your project: type of building, annual electricity consumption, installation location (pin placed on a satellite map), photos (meter, electrical panel, roof, land), Hydro-Québec bills and account number, building plans.
• Our exchanges: text messages, emails, appointments and calls. Calls with our team may be recorded and transcribed, to follow up on your file and for service quality.
• Your visit: the page you came from, the form steps completed (counted without identifying you) and an encrypted fingerprint of your IP address, used only to block abusive submissions.

We only collect what is needed to answer you and carry out your project.

3. Why we use it

• Answer your request and schedule your appointments and their reminders.
• Prepare the design, the financial analysis and the quote for your system.
• Prepare, with your consent, grid interconnection requests to Hydro-Québec and incentive applications.
• Install, commission, follow up on and warranty your system.
• Invoice and keep our accounts.
• Improve our services using aggregate statistics.
• Keep our systems secure and meet our legal obligations.

4. Your consent

By submitting the form or giving us your information, you consent to its use for the purposes above. You may withdraw your consent at any time by writing to us; we will then stop contacting you, subject to what the law requires us to keep.

We never sell your information and we do not use it for third-party advertising.

5. Who has access

• Members of our team who need it for their work, according to their role.
• The partner company that installs in your region, when your project is assigned to it.
• Our partner engineering firm, for the plans: it receives the project's technical data, without your contact details.
• Hydro-Québec and incentive programs, with your authorization, for your applications.
• Our technology service providers (section 6), which process information on our behalf and only under our instructions.

6. Our service providers and where your information is stored

Our main database is hosted in Canada. Some services we use process information outside Quebec, mostly in the United States. Before entrusting them with information, we assess the protection they offer and bind them by contract, as the law requires.

7. Artificial intelligence and automated decisions

We use artificial intelligence tools to transcribe and summarize calls and to help draft messages. A person on our team reviews and decides: no decision about you is made solely by automated processing, and no message is sent to you by AI without a person approving it, except appointment confirmations and reminders.

8. Cookies and audience measurement

The quote request form sets no advertising cookies. It counts the steps completed without identifying you. Our websites may use Google Analytics to measure traffic in aggregate; you can refuse these cookies in your browser settings.

9. Retention

• Request not followed by a project: up to 3 years after our last exchange, then deleted or anonymized.
• Customer: for the whole relationship and the warranty period of your system, then 7 years for our tax and legal obligations.
• Call recordings: up to 2 years.

10. Security

Information travels encrypted. Access is limited according to each person's role, enforced in the database itself and logged. Files (photos, bills, plans) are kept in private storage, never public. If a confidentiality incident presents a risk of serious injury, we notify the Commission d'accès à l'information and the people concerned, and we keep a register of incidents.

11. Your rights

• Know what information we hold about you and get a copy, including in a structured, commonly used technological format.
• Have inaccurate, incomplete or equivocal information corrected.
• Withdraw your consent and ask that your information be deleted where the law allows.
• Be informed of the use of technologies that can identify you, locate you or build your profile.

Write to us at info@innovationsolairequebec.com. We reply within 30 days. If our answer does not satisfy you, you may file a complaint with the Commission d'accès à l'information du Québec (cai.gouv.qc.ca).

12. Minors

Our services are intended for property owners and businesses. We do not knowingly collect information about people under 14.

13. Changes

We may update this policy. The effective date at the top of the page shows the latest version. Any significant change will be flagged on our websites.
